Quote template for freelancers (Word)

Professional quote template: scope, hourly rate or fixed price, planning, terms and approval block. Ready to fill in Word.

A good quote prevents the two biggest freelance problems: scope discussions and non-paying clients. This free quote template enforces the right elements: a concrete assignment description (including what is not in scope), the choice between hourly and fixed price, an additional-work clause, planning, payment terms and a formal approval block with signature.

The template contains fill-in guidance per section and practical standard texts you can use or adapt directly. Validity defaults to 30 days.

What's inside?

  • Fixed structure: assignment, investment, planning, terms, approval
  • Standard texts for hourly and fixed price (pick one)
  • Additional-work clause and deposit agreement built in
  • Approval block with name, date and signature
  • Works in Word, Google Docs and LibreOffice

Frequently asked questions

Is an approved quote legally binding?

Yes — a quote accepted by the client (signature or explicit email) together with your general terms forms the contract. Never start before written approval.

Hourly rate or fixed price?

Hourly is fair when scope is unclear; fixed price works for well-defined assignments and sells more easily. With fixed price, include a risk margin and define additional work explicitly.

How long should a quote be valid?

30 days is common. Shorter validity (14 days) creates urgency; longer than 60 days is unwise as your rates and availability may change.
