Leave card 2026 Excel — track holiday days per employee

Record holiday days, leave balance and special leave per employee for all of 2026. With automatic balance calculation and all official Dutch public holidays.

With this free 2026 leave card for Excel you track per employee how many holiday days have been accrued, taken and are still available. You record the opening balance, the annual accrual (statutory and non-statutory days) and every leave entry with date and leave type.

The template calculates the current leave balance automatically and includes all official Dutch public holidays in 2026, so you never book them as leave by mistake. Special leave and sick days can be recorded separately.

Statutory holiday days in the Netherlands generally expire six months after the accrual year — a solid leave administration prevents disputes. Want employees to request leave themselves and managers to approve with one click? That is what the PrikKlokPlus leave module does.

Frequently asked questions

How many holiday days is an employee entitled to in 2026?

The statutory minimum is four times the weekly working hours: with a 40-hour week that is 20 days. Many collective agreements add non-statutory days on top, often up to 25 in total.

When do statutory holiday days expire?

Statutory days generally expire six months after the end of the accrual year — 2026 days expire on 1 July 2027. Non-statutory days only lapse after five years. Employers must actively and concretely warn employees about expiring days.

Do I have to keep a leave administration as an employer?

Yes, you must be able to show how much leave an employee accrued and took. In a dispute about the balance, the burden of proof effectively lies with the employer.

What is the difference between statutory and non-statutory holiday days?

Statutory days are the legal minimum (4× weekly working hours). Everything above that is non-statutory. They differ in expiry terms and payout rules: statutory days cannot be paid out during employment, non-statutory days can.
