With this free overtime template for Excel you track per week how many hours an employee worked compared to their contract hours. The difference — overtime or undertime — is calculated automatically and accumulated into a running balance.

Per row you indicate whether overtime is paid out or taken as time off in lieu. That prevents discussions with employees and gives you a solid overtime administration for payroll.

Note: under the Dutch Working Hours Act employers must keep a proper record of working times. For teams, software with an approval workflow like PrikKlokPlus is more reliable than loose Excel files.

Frequently asked questions

Am I required to record overtime as an employer?

Yes. The Dutch Working Hours Act requires employers to keep a proper record of working and rest times, including overtime. The Netherlands Labour Authority can ask for this record during an inspection.

Does overtime always have to be paid out?

That depends on the employment contract and the collective agreement. Many CAOs offer a choice between payout and time off in lieu. Since 2019, overtime for minimum-wage earners must be compensated at least at minimum wage.

How do I prevent disputes about the overtime balance?

Record weekly and give the employee visibility. Even better is a system where the employee logs hours and the manager approves them — then the balance is always confirmed by both sides.
