Billing & Payments
PrikKlokPlus uses a prepaid credit balance. Go to Billing and choose a top-up amount (€25, €50, €100, €250, €500, €1,000 or €1,500). You are redirected to Mollie to pay — the available payment methods (iDEAL, card, Bancontact, etc.) depend on what is enabled on our Mollie account.
Once payment is confirmed, the amount is added to your credit balance and automatically applied to your oldest open invoices first.
If a PrikKlokPlus invoice remains unpaid 20 days after its due date, your account is temporarily paused. If it's still unpaid 30 days after that (50 days after the due date in total), the account is cancelled.
You can top up your credit at any time to settle the outstanding balance and reactivate your account — there is no need to contact support.
Go to CRM → Invoices and click New invoice. Select the relation, add line items (description, quantity, price, VAT rate) and save. The invoice starts as a concept and is not visible to the client yet.
Click Send to email the invoice to the client as a PDF.
PrikKlokPlus does not process client payments online. Every sent invoice PDF includes a scannable payment QR code (an EPC/GiroCode) that encodes your IBAN, the amount due and the invoice number as payment reference. Your client scans it in their own banking app and confirms a regular SEPA bank transfer.
The QR code only appears if you have set an IBAN in Settings → Company. Once the money arrives in your account, you (or a manager) mark the invoice as paid manually — PrikKlokPlus cannot detect the transfer automatically.
Go to CRM → Recurring invoices and click New recurring invoice. Choose the relation, line items, an interval (every 2 weeks, monthly, every 3 months, every 6 months or yearly) and a start date.
Each new invoice is generated as a concept. If you enabled send automatically on the template, it is sent to the client right away; otherwise it waits in your invoices list for manual review and sending. You can pause or stop a recurring invoice at any time.
Go to CRM → Quotes and click New quote. Add line items with a VAT rate and click Send to email the quote to the client as a PDF.
Once the client agrees, open the quote and convert it to an invoice with one click — the line items are copied over so you do not have to re-enter them.
As a manager, find your company details under Settings → Company: legal name, address, VAT number, KVK (Chamber of Commerce) number, billing email and phone number.
Two settings here directly affect other features: the IBAN is used to generate the payment QR code on your client invoices, and invite link validity (1, 3, 7 or 14 days, default 7) controls how long a team invitation email stays valid.
Time Tracking & Approval
Go to My hours in the menu and click Add hours. Fill in the date, project, number of hours and a description.
Hours can be entered in increments of 0.25 hours (15 minutes). Submitted hours remain open until a manager approves them.
As a manager, find all submitted hours under Management → All hours. Use the status column to approve or reject hours.
Approved hours become billable via CRM → Invoices. Rejected hours are returned to the employee.
The Management → Attendance page is a date-grouped roster, not a live who's-clocked-in view: for a chosen date range it lists each employee's start time, stop time, break minutes, net hours and project.
Use the CSV export button to get a payroll-friendly file for the selected period.
Projects, Tasks & Scrum
As a manager, go to Projects and click New project. Give the project a name, description, start and end date, and optionally link it to a CRM relation.
After creation you can add members and create tasks. Only project members can log hours on the project.
Open a project and go to the Members tab. Click Add member and select a team member. You can set an hourly rate per member for billing purposes.
Members can be set to active or inactive. Inactive members can no longer log hours on the project, but their historical hours remain visible in reports.
Find tasks per project under the Tasks tab. Create new tasks with a title, description, status and deadline. Tasks can be assigned to project members.
Tasks are displayed on the Kanban board. Drag a task to another column to update its status.
Go to a project and open the Sprints tab. Click Create sprint and give the sprint a name, start date and end date.
Drag tasks from the backlog into the sprint. Each task has a story point value that feeds into the sprint's velocity report once the sprint ends.
The Gantt chart displays all tasks of a project on a timeline. You can see at a glance which tasks are running, overlapping or delayed. The Gantt view is directly linked to task statuses on the Scrum board.
Team & Roles
As a manager, go to Management → Team and click Invite. Enter the employee's email address; they receive an email with an activation link.
The link stays valid for the number of days configured under Settings → Company (1, 3, 7 or 14 days, default 7). Invited users always start with the employee role — a manager can change their role afterwards via the team page.
PrikKlokPlus has three roles: Employee — can log and view their own hours. Manager — manages the team, projects, CRM and billing. Admin — system administrator with access to all tenants (PrikKlokPlus staff only).
A manager can change a team member's role via Management → Team → edit user.
If you are the last remaining manager, you can deactivate the whole company account from Management → Team. This is blocked while there are unpaid invoices — settle those first.
Deactivation starts a 60-day grace period during which the account and its data remain intact. After 60 days the tenant is permanently removed; invoices are kept on file to meet the 7-year statutory tax retention requirement.
Account & Security
On the login page, click Forgot password? and enter your email address. You will receive an email with a reset link, valid for 60 minutes.
If you are logged in, you can change your password via Profile → Security → Change password.
Enable extra security via Profile → Security. You can set up an authenticator app (Google Authenticator, Authy, etc. — TOTP) and/or register one or more passkeys (Face ID, Windows Hello, a security key) for passwordless sign-in.
When you enable authenticator-app 2FA you receive 8 single-use recovery codes — store these somewhere safe, they let you sign in if you lose your device. There is currently no setting for a manager to enforce 2FA for the whole team; each user enables it individually.
Click the language flag at the bottom of the sidebar to switch between Dutch and English. The preference is saved to your profile and applies on all devices.
The language setting is personal — other users in your team keep their own preference.
Go to Profile → Notifications to configure which email notifications you want to receive, such as hour approvals, invoice reminders, project invitations and weekly summaries.
Security-related notifications (new login, password change) cannot be disabled.
Privacy & GDPR
Go to Profile → Privacy and click Export data. Your export is generated in the background; once it is ready you receive an email with a download link to a ZIP file.
The export contains your profile data, hour registrations and activity log.
Go to Profile → Privacy → Delete account. Your account enters a 30-day grace period, then is anonymised: your hour entries are wiped, your activity log is stripped of your identity, active sessions are signed out, and your profile is renamed to a generic "Deleted user".
If you are the only manager of your company, you must first appoint another manager or deactivate the company account, since a company cannot be left without a manager.
You can adjust your cookie preferences at any time via the cookie banner at the bottom of the page, or via Profile → Privacy → Cookie preferences.

Yes. PrikKlokPlus processes personal data in accordance with the GDPR. Data is stored on servers within the EU. You can export or delete your data at any time via your profile page, and a Data Processing Agreement (DPA) is available for your company.
Files & Wiki
Vault is PrikKlokPlus's shared file storage. Create nested folders to organise files and drag files in to upload them — each file can be up to 100 MB.
Your tenant has a total storage quota; once it is reached, new uploads are blocked until files are removed or your quota is increased.
Permissions in Vault are set per folder, via Permissions on that folder. You can grant a specific user or an entire role the ability to view, upload and/or delete files independently of each other.
Subfolders inherit access unless you set more specific permissions on them.
The Wiki lets your team document processes and knowledge in folders of pages. Pages support labels and attachments, and you can search across all pages.
Click Watch on a page to get notified whenever it is updated.
Every time a wiki page is edited, the previous version is saved as a revision — nothing is ever overwritten or lost, and you can browse the full history from a page's Revisions tab. Restoring an older version creates a new revision rather than deleting anything.
Permissions can be set per page (view, edit, delete) and per folder, for a specific user or an entire role.
Other
Submit a leave request from your dashboard with a type (vacation, sick, public holiday, training or other) and a duration (full day, half day morning/afternoon, or a custom range). The request starts as pending.
A manager approves or denies it under Management → Leave. Vacation hours are tracked against your leave balance, which includes your statutory entitlement plus any extra hours granted; unused balance carries over with a cap and expires on 1 July of the following year, per Dutch statutory rules.
Submit an expense with a category (travel, accommodation, materials or other). For travel, enter the number of kilometres and the amount is calculated automatically using your company's rate (€0.23/km by default, configurable). Attach a receipt (PDF, JPG or PNG, max 10 MB).
You can edit an expense while it is open. A manager approves or rejects it under Management → Expenses and can export approved expenses to CSV.
Extra features are available as add-ons under Settings → Add-ons. A manager can enable or disable an add-on instantly — no approval is required. The monthly cost is added to your regular PrikKlokPlus billing.
Disabling an add-on starts a 30-day grace period before its data is removed, so you can safely re-enable it if you change your mind.
New managers see a getting-started checklist on the dashboard with four steps: invite your team, create a project, log an hour, and set up billing. Completed steps are marked automatically as you use the app.
You can dismiss the checklist at any time and resume it later from the dashboard.
