What this feature does

The invoice feature uses hours already stored in the system. Choose a client or project, select approved hours, and convert them into invoice lines.

  • Approved hours only: prevent draft hours from being billed by accident.
  • Project lines: group hours by project, task, or period.
  • VAT line: use Dutch VAT settings for clear totals.
  • PDF output: save or send the invoice as a professional document.

How to create an invoice

  1. Make sure employees have entered their hours.
  2. Approve the hours as manager.
  3. Open Invoices and choose new invoice.
  4. Select client, project, and period.
  5. Check lines, rates, and VAT.
  6. Create the PDF and send it to the client.

Example: your team worked 38.5 hours on an implementation project in July. After approval, you no longer need to search timesheets. Select July, check the hourly rate, and create the invoice.

Why approval matters

Billing from open hours may look faster, but it creates discussion when an entry has the wrong project, wrong date, or internal task. Approval keeps invoicing clean and gives managers control before amounts reach the client.
